Gmail's attachment cap is about 25 MB. That is not the number most people miss. University portals, visa sites, bank KYC uploads and some ATS boards still say 1 MB or 2 MB. A phone scan of a 10-page form is often 8-15 MB because each page is a photograph. You do not need to "make a new PDF" in Word. You need to recompress those page images and keep the letters as text where they already are.

Hit 2 MB in this order

  • Gmail / most consumer email: ~25 MB. Compress for courtesy and mobile download, not because Gmail bounced 3 MB.

What not to do

  • Print to PDF from a photo viewer at "best" and then compress five times.
  • Screenshot each page into WhatsApp, then combine the screenshots. That is how text becomes unsearchable mush.
  • Emailing a 40-page bank statement when they asked for one month. Split first.
