Free Receipt Generator: what it does and how to use it

By Hami Tech·July 9, 2026·Updated July 25, 2026·6 min read

A receipt is proof that a payment already happened - what was bought, how much was paid, when, and by whom - which makes it a different document from an invoice in almost every detail: no due date, no "amount owed", just a confirmed transaction for the customer's records and yours. This generator builds one in your browser on a real A4 page, so the live preview is the finished document rather than an approximation of it. Browse 300 templates across 15 industries, each with its own colour themes and payment-confirmation wording, add your logo, list what was paid for, record the payment method, and set tax if it applies. An optional "received by" signature line can be added with one toggle for cash payments that need it. Export a print-sharp PDF or PNG, copy it to your clipboard, or print it on the spot - nothing is uploaded, so customer names and amounts stay private.

Invoices, quotes and cards only look professional if the details are right. Fill the form once, download a PDF, and keep the original numbers.

Free Receipt Generator is a good fit when small businesses giving customers proof of payment.

The useful part

Free Receipt Generator is built around a few practical wins, not a long feature list:

  • Free with no sign-up, subscription or watermark.
  • 300 templates across 15 industries, built specifically for receipts - not a relabelled invoice.
  • The preview is the real page, so the PDF you download matches it exactly.
  • A dedicated payment method field - cash, card, bank transfer, cheque, PayPal - the detail most often missing when a payment is later queried.
  • An optional received-by signature line, for cash payments that need a witnessed confirmation.
  • Runs entirely in your browser, so customer names and amounts are never uploaded anywhere.
  • Tax, discount and shipping are each entered as a percentage or a fixed amount and calculated for you.
  • Prints directly, which is useful for issuing a receipt in person.
  • Any currency, so it works wherever you trade.

Do this, in order

  1. Pick an industry category. Choose the category closest to your business - each shows 20 templates with payment-confirmation wording suited to that kind of work.
  2. Choose a template and colour theme. Pick a design, then one of its colour themes or set your own custom colours.
  3. Add your branding. Upload your logo and enter your business name and contact details.
  4. Enter who paid and how. Who the payment was received from, a receipt number, the date, and the payment method - cash, card, bank transfer and more.
  5. List what was paid for. One line per item with description, quantity and price. The subtotal updates as you type.
  6. Add tax if it applies. Enter a tax percentage or fixed amount and it is calculated on the subtotal and shown as its own line.
  7. Add a signature line if you want one. One toggle adds a "received by" line for payments - typically cash - that need a witnessed confirmation.
  8. Give it to the customer. Download a print-sharp PDF, a PNG, copy it to your clipboard, or print it directly on the spot.

Who it is for

  • Small businesses giving customers proof of payment.
  • Landlords issuing rent receipts to tenants.
  • Tradespeople confirming payment after a job.
  • Market and event sellers who need a paper receipt on the spot.
  • Anyone who needs to document a private sale.

If you want a clean result

  • Number your receipts sequentially. It makes your records reconcilable and is expected in most bookkeeping.
  • Always record the payment method. It is the detail most often missing when a payment is later queried, and this tool gives it its own field.
  • Keep a copy for yourself. This tool does not store anything, so download the PDF at the same time you issue it.
  • For rent receipts, use the item description to state the period covered rather than just the date paid.
  • Turn on the received-by signature line for cash payments - it gives you a witnessed record that the money changed hands.

Common mix-ups

  • Confusing a receipt with an invoice. An invoice requests payment; a receipt confirms it was already made.
  • Omitting the date, receipt number or payment method, which makes the document far less useful as a record.
  • Not keeping your own copy, leaving you with no proof if the customer disputes the payment.
  • Leaving out the tax breakdown when the customer needs it to claim the expense.

Private by default

Free Receipt Generator runs in your browser. The file or text you paste stays on your device. There is no account, and nothing is stored on a ToolBox server for this job.

If this is one step in a longer job, these usually come after it:

  • Free Invoice Generator - Create a professional invoice from 300 templates across 15 industries, with your logo, colours and font
  • Free Signature Maker - Draw your signature and download it as a transparent PNG

Before you ask

What is the difference between a receipt and an invoice?

An invoice is a request for payment, sent before you are paid, with a due date and an amount owed. A receipt is confirmation that payment has already been received, given afterwards - there is no due date, and the total is what was paid rather than what is owed. This tool reflects that directly: the party is "Received from" rather than "Bill to", the total is labelled "Total Paid", and there is a dedicated payment method field rather than payment terms.

How many templates are there, and how are they organised?

300 templates in total, 20 per industry across 15 categories, built specifically for this tool: their own layouts, colour palettes and payment-confirmation wording, not the invoice or quotation catalogue relabelled. No two of the 300 share the same combination of page frame, header, table, totals and badge treatment.

How do I make a receipt?

Pick an industry and a template, add your business details and who the payment came from, list what was paid for, and set a payment method. Totals calculate automatically, and you can download a PDF, save a PNG, or print it on the spot.

What does the "received by" signature line do?

It adds a labelled line at the bottom of the receipt for whoever took the payment to sign and date - useful for cash payments where a witnessed record matters. It is off by default and switched on with one toggle.

Is it free?

Yes, completely free with no sign-up, no limit and no watermark.

What should a receipt include?

Your business name and contact details, a receipt number, the date, who paid, what was purchased, the amount paid, and the payment method. Tax should be shown separately where it applies.

Can I use this for a rent receipt?

Yes. Use the item description to state the rental period covered - "Rent, 1-31 March" is far more useful to a tenant than just an amount and a date.

Is customer information stored?

No. Everything is generated in your browser, so names and amounts are never sent to a server or retained after you close the tab.
