
How to Add a Payment QR Code to an Invoice

A payment QR code lets your client pay an invoice by pointing their phone camera at it. Instead of copying an account number, a sort code or a UPI ID by hand - and occasionally getting it wrong - they scan, check the amount and confirm. Fewer steps means fewer delays, and fewer payments sent to the wrong account.
This guide explains how payment QR codes work, which payment methods support them, how to add one to an invoice for free, and how to keep it safe.
How a payment QR code works
A QR code is just a way of storing text that a phone camera can read. For payments, that text is either a payment link (such as a PayPal.me or Stripe payment page) or a structured payment instruction that a banking or wallet app understands. When the client scans it, their app opens with your details - and sometimes the amount and reference - already filled in. They check it and confirm the payment.

How to add a payment QR code to an invoice
- Open the invoice generator and fill in your invoice as usual.
- Find the payment section below the totals and choose your payment method - for example UPI, Zelle, IBAN/SEPA or a payment link.
- Enter your payment details: your UPI ID, handle, IBAN or payment link.
- Check the preview. The QR code appears on the invoice next to your written payment details.
- Test it. Scan the code with your own phone before sending and make sure it opens the right app with the right name.
- Download the PDF and send the invoice.
The QR code is generated in your browser from the details you type; your payment details are not uploaded.
Best practice
- Keep the written details too. Not every client can or will scan a code, and accounts teams often pay from a desktop. Print your bank details or payment link alongside the QR code.
- Include the reference. Ask the client to use the invoice number as the payment reference so you can match the payment.
- Make it big enough. A QR code needs to be at least about 2 cm (0.8 inches) across to scan reliably from a printed page.
- Only use your own details. Check the name the payment app shows before you send - it should be yours or your business's.
Are payment QR codes safe?
For you, yes - a QR code only contains details you are already sharing on the invoice. For your clients, the main risk is fraud: a criminal who intercepts an email could swap your QR code or bank details for their own. Protect your clients by sending invoices from your usual email address, telling them your bank details will not change without a phone call, and encouraging them to check the payee name in their app before confirming. Many banks now show a name check (such as Confirmation of Payee in the UK) that helps with this.

Can I add a UPI QR code to an invoice?
Yes. Choose UPI as the payment method, enter your UPI ID, and the QR code is added to the invoice. Clients can scan it with any UPI app and enter the amount shown on the invoice.
Does the QR code include the invoice amount?
Some formats, such as UPI links and SEPA EPC codes, can carry an amount, but the codes this generator creates hold your payment account only, so one code keeps working if you edit the invoice. Your client types in the amount due, so print it clearly next to the code.
Will the QR code work on a printed invoice?
Yes, as long as it is printed at a reasonable size and in good contrast. Test a printout with your phone if you post invoices.
