Credit note generator

A credit note reduces what a customer owes on an invoice you have already issued - for returned goods, a pricing mistake, a cancelled service or a goodwill discount. Because a sent invoice should never be edited, the credit note is the correct way to correct it, and it carries the original invoice number so both sets of books match. This generator builds one in your browser with the reason, the lines being credited with their tax, the refund method (credit to account, bank transfer, card refund and more) and a status of Issued, Applied or Refunded. How to use this tool

  1. Import the original invoice - or type itImport pulls the customer, currency and lines from an invoice in this browser; otherwise enter the original invoice number and date.
  2. Choose the reasonReturned goods, damaged goods, overcharge, cancelled service, duplicate billing, goodwill, short delivery or other.

Credit note or refund receipt?

A credit note changes what is owed. If the invoice was unpaid, the customer simply pays less. If it was paid, the credit either sits on their account for the next invoice or is refunded - which is what the refund method records. The customer's Account Statement then shows the credit against the original invoice.

Tips for better results

  • Never edit or delete an invoice that has been sent. Issue a credit note against it - auditors and tax authorities expect the trail.
  • Credit the tax as well as the net amount, at the rate the invoice charged. This tool does that per line.
  • Quote the original invoice number and date on every credit note; without them the customer cannot match it.
  • Mark it Applied once the credit has been used against another invoice, so it is not refunded twice.

Mistakes to avoid

  • Sending a "negative invoice" instead of a credit note - many accounting systems reject it.
  • Crediting the net amount but forgetting the tax that was charged on it.
  • Refunding a credit that was already applied to the customer's account.
