Timesheet generator
A timesheet records the hours worked, day by day, so they can be approved and paid or billed. Enter a start time, end time and unpaid break for each entry and the hours are worked out for you - including shifts that run past midnight. Flag entries as billable or not, round each to the nearest 15 minutes if your contract says so, and set your own weekly overtime threshold and rate: hours past the limit are marked OT, days over your daily limit are flagged, and overtime can be charged at 1.5× or any rate you set. Add an approver signature line, export the week as CSV for payroll or a spreadsheet, download a PDF, and turn the billable time into an invoice with one click.
How to use this tool
- Set the weekPick the week-starting date; the week-ending date follows. "Fill Mon–Fri" adds five working days.
- Log each entryDate, task, start, end and unpaid break in minutes. Hours appear as you type.
- Mark billable time and ratesUntick Billable for internal work; set an hourly rate per entry.
- Set your overtime rulesWeekly hours before overtime (40 by default), daily hours to flag, and the overtime multiplier.
- Get it approvedTurn on the approver signature line, then print or send the PDF.
- Export or invoiceDownload CSV for payroll, or Convert to Invoice to bill the billable hours.
How the hours are calculated
- Worked time = end − start − break. An end time earlier than the start counts as the next day.
- With rounding on, each entry is rounded to the nearest 15 minutes.
- Overtime counts in time order: once the week passes your weekly limit, the rest is overtime.
- Days whose total passes the daily limit are flagged, but not billed differently.
Key features
- Free, with no sign-up and no watermark on the PDF.
- Runs in your browser - customer names, prices and addresses are never uploaded.
- The preview is the real A4 or Letter page, so the PDF, PNG and print match it exactly.
- 12 templates with several colour themes each, built on the same engine as the Invoice Generator.
- Uses the same client book as the Invoice and Quotation Generators on this browser.
- Drafts save themselves; history, duplicate and auto-numbering are built in.
- Automatic hours with breaks and overnight shifts, overtime flags, 15-minute rounding, CSV export and one-click invoicing.
Common uses
- Freelancers and contractors billing clients by the hour.
- Small employers collecting weekly hours for payroll.
- Agencies tracking billable vs internal time.
- Temps and shift workers submitting hours for approval.
Tips for better results
- Fill it in daily - timesheets reconstructed on Friday are reliably wrong.
- Record breaks honestly; they are deducted from each entry.
- Check your contract or local law for overtime; this tool flags and charges it by your settings, not by any country's rules.
- Keep internal or non-billable work on the sheet but untick Billable - the hours still count toward overtime.
Mistakes to avoid
- Billing paid breaks the client did not agree to.
- Forgetting that hours past midnight belong to the shift that started the day before.
- Sending a timesheet without an approver signature when the client requires one.
Frequently asked questions
End time minus start time, minus the unpaid break. Shifts that cross midnight are handled - an end time earlier than the start is treated as the next day.
You set the weekly hours before overtime (40 by default). Entries are counted in date and time order, and every minute past the limit is marked OT. With "Charge overtime" on, those minutes are billed at your multiplier (1.5× by default).

Yes. CSV opens in Excel, Google Sheets and Numbers, with date, task, times, break, hours, rate, billable and amount per entry and a total row.
Yes. Convert to Invoice creates one invoice line per billable entry (hours × rate) plus an overtime premium line if you charge one, and opens it in the Invoice Generator.
Yes - turn off "Show rates and amounts" for a timesheet that only shows hours, such as one sent to payroll.
