Job estimate generator
A job estimate tells a customer what a piece of work is likely to cost before it starts, broken down so they can see where the money goes. This generator is built for trades and contractors: lines are grouped into Labour, Materials and Equipment sections, each with units (hours, m², rolls, days), and a contingency percentage covers the unknowns you only find once walls are opened. Add the job title and site, a written scope of work and what is excluded, a valid-until date, a deposit due on acceptance and a customer acceptance line. Trade presets for renovation, plumbing, electrical, painting, roofing, landscaping, cleaning and IT give you a realistic starting point to adjust. Once accepted, convert it to a work order or an invoice.
How to use this tool
- Start from a trade presetPick your trade to load typical Labour, Materials and Equipment lines, or start blank.
- Describe the jobJob title, site address, scope of work, exclusions and an estimated timeline.
- Price each sectionHours × rate for labour, quantities × unit price for materials and equipment, with tax where it applies.
- Add contingency and depositA contingency % for the unknowns, and the deposit % due when the customer accepts.
- Set validity and acceptanceA valid-until date and an "Accepted by" signature line for the customer.
- Convert when acceptedConvert to Work Order to schedule it, or to Invoice to bill the deposit or the job.
Estimate or quote?
An estimate is your best informed guess and can change if the job turns out different; a quote is a fixed price. If you can price the job exactly, the Quotation Generator may suit better. Either way, the accepted document becomes the basis for the work order and the invoice.
Key features
- Free, with no sign-up and no watermark on the PDF.
- Runs in your browser - customer names, prices and addresses are never uploaded.
- The preview is the real A4 or Letter page, so the PDF, PNG and print match it exactly.
- 12 templates with several colour themes each, built on the same engine as the Invoice Generator.
- Uses the same client book as the Invoice and Quotation Generators on this browser.
- Drafts save themselves; history, duplicate and auto-numbering are built in.
- Labour / Materials / Equipment sections, contingency, scope and exclusions, and eight trade presets.
Common uses
- Builders, renovators and handymen pricing a job after a site visit.
- Plumbers, electricians, painters and roofers quoting repairs.
- Landscapers and cleaners quoting one-off projects.
- IT contractors estimating an office setup.
Tips for better results
- Write exclusions as carefully as the scope. Most disputes are about what the customer assumed was included.
- Show contingency as its own line rather than hiding it in your rates - customers trust an estimate that admits uncertainty.
- Set a short validity (30 days is common): material prices move.
- Take a deposit on acceptance for any job where you buy materials up front.
Mistakes to avoid
- Calling it a fixed quote when hidden conditions could change the price.
- Leaving out equipment hire, waste removal or access costs.
- Starting work on a verbal yes without a signed acceptance.
Frequently asked questions
An itemised forecast of what a job will cost - labour, materials and equipment - given to the customer before work starts. It can change if the job turns out differently, which is what separates it from a fixed quote.
Enter a percentage and it is added on top of the discounted subtotal as its own line, and taxed at the lines' average rate. When you convert the estimate, the contingency becomes a line of its own.
