Free Email Signature Generator
50 modern signature designs that work in Gmail, Outlook and Apple Mail. Fill in your details, pick a design, paste it into your client.
100% free. Runs entirely in your browser - your files and data never leave your device and nothing is uploaded to any server.
Icons are small hosted images with the network name as alt text, so they still read when images are blocked.
Mail clients can't read files from your PC - an image must live at a public https:// link. This makes an email-ready copy (cropped, under ~50 KB) for you to host.
Presets are common wording, not legal advice - check what your firm or regulator requires.
Upload a CSV or Excel file with Name, Title, Email (and optionally Phone, Mobile, Department, Photo URL, LinkedIn). You get one .htm signature per person in a ZIP, in the current design.

Checks
Images
- No images - the signature is text and tables only, which every client shows.
- Every image has width, height and alt text, so Gmail cannot stretch it and a blocked image still reads as text.
Before you use it
- Send a test email to yourself (and one to a Gmail and an Outlook address if you can) before using it for real.
- Open it on your phone - wide signatures scroll sideways on small screens; pick 480 px if yours does.
- View it with images blocked (Outlook desktop does this by default): the alt text and initials should still say who you are.
- Click every link - phone, email, website, social, button - from the received email, not the preview.
- Reply to that test email once, to check the signature does not duplicate or stack in a thread.
- Check it in dark mode on your phone; logos with transparent backgrounds can disappear on black.
About this tool
An email signature is the small block at the bottom of every message you send - and because it appears on every message, it is one of the most-seen pieces of branding you own. This free generator has 50 modern designs, every one built from tables and inline styles so it arrives intact in Gmail, Outlook (including the Word-based desktop app), Apple Mail, Yahoo and Thunderbird. Add your photo and logo, pronouns and credentials, a second phone or WhatsApp, a booking link, social icons for LinkedIn, X, Instagram, Facebook, YouTube, GitHub, Behance, Telegram and TikTok, a call-to-action button, a promo banner and a disclaimer preset. Preview it on desktop or mobile, in light or simulated dark mode, then copy it for Gmail or Outlook, or download a .htm file. Nothing is uploaded and no tracking pixel is ever added.
How to use this tool
- Enter your detailsName, credentials, pronouns, title, company, then the contact lines you want - phone, mobile, WhatsApp, email, website, booking link, address. The eye icon hides a line without deleting it.
- Add photo, logo and socialsPaste public https:// links for your photo and logo. If the image is on your computer, the optimiser crops and shrinks it to under ~50 KB so you can host it.
- Pick a design and style itChoose from 50 designs, then set the accent (or match your website), font, text and name size, icon style, separator, density and max width.
- Check the previewSwitch between Full and Short, desktop and mobile, light and dark, and the Gmail or Outlook rendering.
- Copy and installCopy for Gmail & web, Copy for Outlook desktop, or download .htm - then follow the step card for your client.
What to include in an email signature
Keep it to four or five lines: your name, job title, company, one phone number and your website. Add a small logo or photo and one call to action - a booking link or your latest offer - rather than a long list of social icons.
Avoid putting important text inside images, because many email apps block images by default. The designs here are built from tables and inline styles, which is what keeps them intact in Outlook and Gmail.
Key features
- 50 designs that use only tables and inline styles, so they survive Outlook, Gmail and Apple Mail.
- Every image has width, height and alt text, so Gmail cannot stretch it and blocked images still read as text.
- A separate Outlook-desktop copy with square corners and pinned line heights for Word's engine.
- Team mode: a CSV or Excel sheet becomes one .htm signature per person in a ZIP.
- No tracking pixel and nothing uploaded - your draft stays in your own browser.
Common uses
- Setting up a professional signature for Gmail or Outlook in a few minutes.
- Rolling out one consistent signature to a whole team.
- Adding a "Book a call" button, a webinar banner or app store links to everyday email.
- Realtors, lawyers, agencies, freelancers and startups who need trade-specific details.
- Replacing an old signature that arrives broken in Outlook.
Tips for better results
- Host images on your own website where you can - free image hosts sometimes delete old files.
- Use the Short version for replies, so long threads do not repeat a full signature every time.
- Send yourself a test and open it on your phone and with images blocked.
- Pick 480 px width if most of your readers are on mobile.
Mistakes to avoid
- Using an image from your computer - mail clients cannot show local files; it must be a public https:// link.
- Pasting an image-only signature: it looks right but no phone number, email or link can be clicked.
- Leaving huge images in - anything much over 80 KB loads slowly and can arrive as an attachment.
- Filling every field. A signature with four clear lines gets read.
Frequently asked questions
Yes. Every design is built from tables and inline styles, the only markup Outlook's Word-based renderer handles reliably. Use "Copy for Outlook desktop" for the classic Windows app - it squares the corners and pins line heights.
Paste a public https:// link to the image. Mail clients cannot read files from your computer, so if your image is local, the built-in optimiser crops and compresses it for you to host on your website, Gravatar or an image host, then you paste that link.
Some clients (Outlook desktop by default) block images until you allow them. Every icon has the network name as alt text, so the signature still reads correctly until images load.
Yes - there is a dedicated booking field (Calendly, Cal.com and so on) plus two buttons in filled, outline or text-link style.
