Lawyer Email Signature Generator

Lawyer email signature templates that work in Gmail, Outlook and Apple Mail - fill in, pick a design, paste

100% free. Runs entirely in your browser - your files and data never leave your device and nothing is uploaded to any server.

Icons are small hosted images with the network name as alt text, so they still read when images are blocked.

Mail clients can't read files from your PC - an image must live at a public https:// link. This makes an email-ready copy (cropped, under ~50 KB) for you to host.

Presets are common wording, not legal advice - check what your firm or regulator requires.

Upload a CSV or Excel file with Name, Title, Email (and optionally Phone, Mobile, Department, Photo URL, LinkedIn). You get one .htm signature per person in a ZIP, in the current design.

Install it

  1. Click Copy for Gmail & web.
  2. Gmail → Settings (gear) → See all settings → General → Signature → Create new.
  3. Paste into the box, set it as the default for new emails and replies, then Save changes at the bottom.

Checks

Images

  • No images - the signature is text and tables only, which every client shows.
  • Every image has width, height and alt text, so Gmail cannot stretch it and a blocked image still reads as text.

Before you use it

  • Send a test email to yourself (and one to a Gmail and an Outlook address if you can) before using it for real.
  • Open it on your phone - wide signatures scroll sideways on small screens; pick 480 px if yours does.
  • View it with images blocked (Outlook desktop does this by default): the alt text and initials should still say who you are.
  • Click every link - phone, email, website, social, button - from the received email, not the preview.
  • Reply to that test email once, to check the signature does not duplicate or stack in a thread.
  • Check it in dark mode on your phone; logos with transparent backgrounds can disappear on black.

About this tool

10 lawyer email signature designs picked from the full set of 50, each one built from tables and inline styles so it arrives intact in Gmail, Outlook and Apple Mail. A legal signature is judged on restraint: serif type, the firm name, a direct line and the privilege notice. Social icons and banners that suit a startup read as out of place on a law firm email. A good lawyer signature carries your name and credentials, practice area, firm, direct line, and a confidentiality and privilege notice. Nothing you type is uploaded, and no tracking pixel is ever added to the signature.

How to use this tool

  1. Start from a lawyer designThe page opens on designs picked for lawyers and law firms, with a sample filled in.
  2. Add your detailsName, credentials, contacts, socials, photo and logo links - hide any line you do not want.
  3. Style itAccent colour (or match your website), font, icon style, separators, density and width.
  4. Copy and installCopy for Gmail or Outlook desktop, or download a .htm file, then follow the install card for your client.

Key features

  • Designs chosen for lawyers and law firms.
  • Team batch from a spreadsheet.
  • Hosted social and contact icons with text fallbacks for blocked images.
  • No tracking pixel, nothing uploaded.
  • Table-only HTML that survives Outlook, Gmail and Apple Mail.
  • Disclaimer presets, CTA buttons, promo strip and app badges.

Common uses

  • Rolling out one consistent signature to a whole team.
  • Replacing a signature that breaks in Outlook.
  • Adding a booking or listings button to everyday email.
  • Lawyers and law firms setting up a professional signature.

Tips for better results

  • Send a test to yourself before switching it on.
  • Use the Short version for replies in long threads.
  • Keep images under ~50-80 KB and hosted on https://.
  • Pick 480 px width if your readers are mostly on mobile.

Mistakes to avoid

  • Treating the disclaimer as protection on its own. A notice helps, but it does not make a misdirected email privileged - check who is on the To line.
  • Pasting an image-only signature, which has no clickable links.
  • Letting each person design their own.

Frequently asked questions

Yes. Every design uses tables and inline styles, and "Copy for Outlook desktop" produces a version with square corners and pinned line heights for Outlook's Word engine.

No. There is no tracking pixel and nothing is uploaded; the signature is plain HTML you own.

Yes - free, no signup and no watermark.

Yes, as public https:// links. If your image is on your computer, the built-in optimiser crops and shrinks it to under ~50 KB so you can host it on your website, Gravatar or an image host.

Yes. Step-by-step install cards cover Gmail, Outlook web and desktop, Apple Mail, Yahoo and Thunderbird, and a .htm download is there for clients that import from a file.
